We have a comprehensive Privacy Policy which meets our obligations under the Privacy Act 2020.   We collect the personal information we need to verify your identity, meet our obligations under the Anti-Money Laundering and Countering Financing of Terrorism (AML/CFT) Act, and provide our services to you. Most of the information we collect comes directly from you. By providing this information, you agree that we may collect, hold and use it for these purposes and for meeting our legal and regulatory obligations.

In addition to information provided directly by you, we may also collect personal information from third parties where required to verify identity, comply with our obligations under the Anti-Money Laundering and Countering Financing of Terrorism Act 2009 (AML/CFT Act), assess risk, or provide our services. This may include information obtained from electronic identity verification providers, government agencies, public registers, credit reporting agencies, product providers, or other professional advisers.

We will not use or disclose your information for any other purpose unless you authorise us to or the law requires it.

• We collect all the data and client information we need to provide the agreed services to clients and only use the information collected for that purpose
• We obtain client consent to collect personal information for the purposes of providing financial advice and complying with our regulatory obligations
• We make available a full copy of any client records to a client at our cost upon request.
• All client information is stored in a secure online CRM which requires passwords, 2FA and permitted access by senior management
• We only use client information for provide the agreed service and advice, and for no other reason
• When we collect information about you indirectly, the Privacy Act 2020 requires us to take reasonable steps to let you know what information we have collected, why we need it, how we will use it, and who it may be shared with. We only collect information that is necessary for verifying your identity, assessing risk, providing our services, and complying with the law.
• You can ask to access or correct your information at any time.
• Besides our staff, we may share this information, only with our client permission with:
  • Other Financial Service Providers such as insurers, banks and KiwiSaver providers as is required to assist in obtaining an insurance policy, bank or joining and KiwiSaver provider.
  • Compliance advisers, assessors, regulators or any claims investigators who may need access to such information.
  • Other professionals or institutions such as solicitors, accountants, general insurance brokers, lenders when such services are required to complement our advice
  • Statutory authorities

USE OF AI TOOLS AND RECORDING

We may use secure technology tools, including AI-assisted tools, to record, transcribe, and summarise meetings to ensure accuracy and efficiency. These tools may process your information through third-party systems, which may be located overseas.

This may involve audio recordings and transcripts of discussions about your financial situation.

Purpose:

• To improve accuracy of advice records
• To ensure compliance with regulatory requirements
• To reduce administrative errors

Third-party providers:

We use a third-party service provider called Otter to process recordings and generate notes. They are contractually bound to protect your information.

Retention and Security: Recordings and/or transcripts will be kept for a minimum of 7 years (as that is our regulatory requirement), or longer if deemed necessary. All client records, including these recordings and transcripts are protected in the same way that all other electronic files are safeguarded within our system.”
